Customer Photo and Story Release
Effective Date: August 5, 2026
1. Customer Control
Submitting photographs, stories, reviews, or commission materials privately does not authorize public use. The customer separately chooses which content, identifying information, and promotional channels are authorized. Every unchecked category is Not Authorized.
2. Available Permissions
The release may separately cover finished-commission photographs, progress photographs, reviews or stories, identifiable customer photographs, anonymous publication, selected name or identity details, website use, the Lounge Journal, social media, email, printed materials, and other specifically selected channels.
3. Editing and Truthfulness
Vitola BandWorks may make reasonable formatting, cropping, color, spelling, length, and accessibility edits that do not materially misrepresent the customer’s experience, words, identity, or commission. Honest reviews will not be conditioned on positive sentiment.
4. No Compensation or Ownership
Unless separately agreed in writing, permission does not provide compensation, a commission-price discount, royalties, approval rights over unrelated materials, or ownership in Vitola BandWorks advertising or promotional materials.
5. Duration and Expiration
Unless the customer enters an earlier expiration date, permission remains effective until withdrawn in writing. Expiration stops new uses after processing but does not require recall of materials lawfully distributed before expiration.
6. Withdrawing Permission
The customer may withdraw future permission by contacting support@vitolabandworks.com and identifying the customer, commission number, content, permission, and known locations. Withdrawal does not make prior authorized use unlawful; require recall of printed materials or emails; guarantee removal of third-party reposts, screenshots, archives, or search results; or affect legitimate private business records.
7. Social Media and Privacy
Social-media content may be shared, captured, indexed, or processed under platform terms. Vitola BandWorks will not intentionally publish home street addresses, private telephone numbers, personal email addresses, portal credentials, payment information, private commission communications, or another person’s confidential information without specific appropriate authorization.
8. No Tobacco Endorsement
Publication of a commission, story, photograph, or testimonial does not mean the customer endorses tobacco use or products. Vitola BandWorks creates cigar-band functional art and does not sell tobacco products.
9. Right to Decline or Remove
Vitola BandWorks is not required to publish approved content and may decline, edit, archive, postpone, or remove it for privacy, legal, intellectual-property, platform, safety, accuracy, brand, website, withdrawal, or other legitimate reasons. Removal does not cancel the commission or create a refund right.
10. Electronic Acceptance and Records
The release may be accepted in the Customer Portal or another written electronic method. Vitola BandWorks may retain the release version; every selection; customer account; commission number; limitations; signature; date and time; later modification or withdrawal; and published uses. A completed locked copy will be made available when the portal signature workflow is activated.
11. Authorization
By signing, the customer confirms they are at least 18; reviewed all selections; understand unchecked categories are not authorized; grant permission voluntarily; have authority over the content; understand future withdrawal; and had an opportunity to ask questions.
