This Privacy Policy explains how Vitola BandWorks™ collects, uses, stores, and shares personal information through vitolabandworks.com, the Customer Portal, commission services, communications, and related business operations.
2. Information We Collect
We may collect contact details, commission preferences, portal account information, communications, submitted photographs and stories, fulfillment details, policy acceptances, electronic-signature records, and payment status or transaction references. Stripe processes complete payment-card and bank credentials; Vitola BandWorks does not store complete card numbers, security codes, or full bank credentials.
3. How We Use Information
We use information to respond to inquiries; evaluate, create, document, and fulfill commissions; operate and secure portal accounts; request and reconcile payments; communicate progress; provide receipts; coordinate pickup, delivery, or shipping; maintain business, tax, legal, and audit records; prevent fraud; and comply with law.
4. Customer Photographs, Stories, and Reviews
Submitting content privately for commission planning does not authorize public use. Public or promotional use is governed by the Customer Photo and Story Release and the customer’s specific selections. Unchecked uses are not authorized.
5. Sharing
We may share only the information reasonably necessary with service providers supporting hosting, email, payments, professional advice, fulfillment, security, and business operations. We do not sell personal information. Service providers act under their own terms and privacy practices where applicable.
6. Retention and Security
We retain information for as long as reasonably necessary for the commission, customer service, legal, accounting, insurance, security, dispute-resolution, and recordkeeping purposes. We use reasonable administrative and technical safeguards, but no online system can be guaranteed completely secure.
7. Choices and Rights
Customers may request access, correction, or deletion of appropriate personal information and may withdraw future promotional permission by contacting support@vitolabandworks.com. Some records may be retained when reasonably necessary or legally required. Service-related commission and account communications are not marketing messages.
8. Minors
The website, portal, and commission services are intended for adults at least 18 years old. Vitola BandWorks does not knowingly collect personal information from children for commission services.
